In this module you will learn how to share a Whiteboard, Application, or Files with participants.
Access the Sharing Content Options Window
To access the Share Content pane, click on the "+" icon in upper right corner of the Session screen.
Share Content Options
From the Share Content options pane, you can choose to: Share Blank Whiteboard, Share Application, or Share Files.
Share Whiteboard
To share a whiteboard, click the Share Blank Whiteboard option. This will open a blank Whiteboard as shown below.
Whiteboard Screen and Tools
This is the blank Whiteboad and the Whiteboard Tools are located in the upper left-hand corner of the screen. The Whiteboard Tools consist of:

Selection Tool: Use the arrow to select an object on the Whiteboard. After you select it you can resize, move, and delete it.

Pointer Tool: Use the hand to point to different areas of the visible Whiteboard. Participants see wherever you are pointing on the slide.

Pencil Tool: Can be used to draw lines of any shape or length.

Shapes Tool: Clicking on the Shapes Tool will reveal a drop-down menu allowing you to choose a Rectangle, Ellipse, or Line drawing tool.

Text Tool: Allows you to type text anywhere on the Whiteboard.

Clear Tool: Completely erases the contents of the Whiteboard.
- Color Picker: Displays a color palette allowing you to choose from 9 colors for Lines Shapes, and Text.
Tip: You can also decide if you want to give your participants the same tools in Session Settings.
Show View Controls
Here are the View Controls which allow you to zoom in and out of the drawing area:

View Controls: Click to alternately show or hide the tools palette.

Zoom in: Make the content bigger. Move the content around to see everything.

Zoom out: Decrease the size of everything on the Whiteboard to increase the drawing area.

Best Fit: Take advantage of your screen real estate. Content adjusts to be completely viewable in the available area. It displays as large as possible while keeping the aspect ratio intact.

Actual size: Returns the Whiteboard to its original magnification or size.
- Stop Sharing: Click to exit the Whiteboard application and return to the Sharing Content window.
Share Applications
Important Note: You must be running Collaborate Ultra from the Google Chrome browser in order to use Share Application.
To share an application, click the Share Application option. If this is the first time that you selected Share Application in Collaborate Ultra using Chrome, you will be asked to install the Desktop Sharing Extension before proceeding.
Install Desktop Sharing Extension
To install the Desktop Sharing extension in Chrome, click the "Add to Chrome" button as shown above.
Add Extension
To complete the installation process, click the "Add extension" button shown above--if you do not wish to proceed, the click "Cancel."

Assuming that you clicked "Add extension," after a few seconds you should see a confirmation that "You are now ready to share your screen" and that you should "Click here to start." So go ahead and click the Sharing Content icon (circle icon with a "+" sign in the middle). You should now be back at the Share Content window as shown below.

Now that you have installed the Share Content Extension in Chrome, you can continue to share an application by clicking the Share Application link once again.
Desktop Sharing Window
When you click the Share Application link in the Share Content window, you will see a pop-up window displaying all your screen(s) and open applications. You should then...
- Select the application or screen that you wish to share, and
- Click the Share button to continue.
Note that if you are using more than one monitor, the Share your screen - Desktop Sharing window will show a scrolling list of all open applications on each monitor and also the desktop (screen) for each monitor.
Live Preview
Once you have selected an application window or desktop to share, you will see a live preview of the shared window that reflects what your participants are seeing. You can then continue working in the application or screen that you've chosen to share just as you normally would while all your actions are reflected in the live preview in the Collaborate Ultra window.
Please note: There will probably be some "lag-time" between the time that you do something in the window/application that you're sharing and the time that it appear on the participants window--so be aware that not all your actions in the shared window or application will appear smooth to your participants. For example, although mouse cursor movement may appear smooth on your screen, they could appear a bit "jumpy" on the participants' screens. The amount of lag or "jumpyness" will depend to a large degree on the Internet connection speed of both you and your participants and will therefore vary from participant to participant. Also, you will want to avoid sharing anything that has continuous motion, such as trying to share a video.
Tip: If you are sharing a slide presentation in PowerPoint, choose Entire Screen or make sure your presentation is in Present mode before sharing it as an application.
Stop Sharing an Application
Once you are finished sharing an application, you can stop sharing by clicking the red Stop Sharing button in the upper-right corner of the Collaborate Ultra session window. The live preview of your application will then close.
Share Files/Presentations
With Share Files, you can upload GIF, JPEG and PNG images, PDF files, or PowerPoint presentations of 60MB or lower to your session to share with your participants.
To upload and process the files that you wish to share, click the Share Files option in the Share Content pane. This will replace the Share Content pane options with the Share Files pane as shown below.
Adding Files/Presentations to Share
To share your file(s), simply drag-and-drop the file to the designated "Add Files Here" area in the Share Files window. The "Add Files Here" box will turn green when the file is in the correct area and you can "drop" it. You can also click anywhere in the Add Files Here box to bring up a dialog window that will allow you to navigate to and select your file. Once you have selected the file or dragged it to the Add Files Here box, Collaborate Ultra will need to upload and process your file.
Warning: Currently, files and presentations that have been uploaded and processed for sharing are not stored between session logins. For example, if you upload a presentation for sharing and then log out of the session and then log back in again--the shared presentation will no longer be available and it will need to be reloaded.
File Processing
Once your selected file has been uploaded, it needs to be "processed." During the processing, the file or presentation is converted to a Whiteboard that can then be shared and marked up (annotated) if desired. Each image file, each slide in a PowerPoint file, or each page in a PDF is converted to a separate Whiteboard. This means that for PowerPoint files, all slides containing animations or slide builds are converted to static images when placed in a Whiteboard (see tip below).
Please note: Even after the file has uploaded, it may take a few seconds to several minutes or more for Collaborate Ultra to process your file--during this "processing" time, you will see a rotating ring next to the file name as shown below.
Tip: If your slide presentation has builds or animations, you might want to choose Share Application rather than Share Files. Choose Entire Screen or make sure your presentation is in Present mode before sharing it as an application.
Deleting a Shared File
Note: If you change your mind and need to delete one of the shared files, click on the "trash can" icon just to the left of the file name.
Share Now
Once files that you've added have been uploaded and processed, they will be listed in the area just below the Add Files Here box. You are now ready to start sharing the selected files with your participants. To make the files available during a session:
- First select the file you wish to share (the selected file will be highlighted).
- Then click the Share Now button at the bottom of the Share Files window.
Sharing a PowerPoint Presentation
After clicking the Share Now button, you are taken back to your Collaborate Ultra session and the file you have chosen to share (in this case a PowerPoint presentation) is displayed in a page/slide navigation pane on the left side. You can now select a particular slide that you want to share--if you wish to show the entire PowerPoint presentation from the beginning, you would simply select the first slide and it would be displayed in your session as shown below.
Presenting Your Slides
Your PowerPoint presentation now appears on a Whiteboard along with all the Whiteboard Tools so that you can mark up the slides as you are giving your presentation if you wish. To advance the slide presentation or to go back to a previous slide, just click the "<" or ">" slide controls. You can also re-open or close the slide navigator panel by clicking on the PowerPoint Presentation name.
Note: For a full description of the Whiteboard Tools, see the previous section on Share Whiteboard.
Tip: With your keyboard, press Alt + Page Up/Down to move forward or backward through you slides. On a Mac, press Alt + Fn + Up/Down Arrow.
Tip: You can decide if you want to give your participants the ability to use these same Whiteboard Tools during the presentation in the Session Settings.
Stop Sharing a File/Presentation
To stop sharing a file or presentation, click on the red Stop Sharing button in the upper-right corner of the Session window.
